Guests:
Gerri Downing and Sheila Ritter were in attendance. Both are planning on joining the Lions Club and will be sworn in next month.
Scott introduced Scott Fridly to the meeting. Scott is part of the Ad hoc committee in Rockton that is soliciting the funds for the Rockton Athletic Fields. Scott F reports that the committee has given assignments to members to now begin going out and soliciting for donations. Scott W asked what the Rockton Lion’s could do to help in this process, if anything. Scott F said he couldn’t think of anything further at this time, but would definitely seek out our help if needed. He says that the deadline for phase 1 with the grant is 2 years from acceptance of the grant to get it completed, however we all agreed we’d like to see the phase 1 completed by this time next year. The current plan is to have 2 football fields and 2 practice fields as well as the softball/baseball fields planned. We reminded him to let the committee know that individual donors could use www.rocktonlions.com to donate through credit card or download the form.
Correspondence:
We received a Thank you note from the Golden Apple Foundation for our donation to their project.
Stephen Mack Middle School cheerlearders sent a thank you for letting them put on the teen tent and relayed their interest in doing a teen tent next year.
Zone Meeting:
Scott W and Kerri W attended the zone meeting last week at the sight and sound center. Information to participate in the Sunset Stroll Site and Hearing event on Sept 28-29 was sent around to all the members.
Old Business:
Golf Outing: Scott W reports that he has received confirmation that Woodward Co will donate $100 towards the golf outing. Dick A reports that the golf outing was successful, however we fell a few foursomes short we still will net almost $1200 for the club. He asked help in getting the 3 remaining people who have not paid for their foursomes to pay. The club thanked Dick A and Jack L for all their work on this event every year.
Candy Day: Cathy B passed around the sign up sheet again for anyone who was not here the last time.
Christmas Walk:
The Lions Club will sponsor the Christmas Walk this year by sponsoring the Chamber’s VIP reception. The reception will be Saturday night after the parade but during our Christmas auction. We will need to provide beverages and food. We really need to make a big effort starting now to get enticing auction items. As well we need to work with the Legion and see if any of their caterers could help out or donate food for the event. We also need to work on the lay out for the event. Proper advertising will be a must.
Steve P made a suggestion that we think about advertising that our auction this year will benefit the Rockton Athletic Fields. We could even have a donation ‘bucket’ available and all proceeds from the auction and 50/50 raffle that night going directly to the fields.
New Business:
Old Settlers Days:
Next Years Event will be July 10 – 13 2008. We realize this coincides with Riverfest, but since we’ve competed with them before we’ve analyzed the numbers and felt this made very little difference to the success of our event.
Scott W will discuss with Pat Skinner the possibility of getting larger per centage of the ticket sales since we have moved our festival around for them the last three years. There is a very good possibility that 2009-2010 will both be available on the third weekend of the month.
Zig made a motion to approve those dates and give Scott authority to negotiate pricing, Auggie 2nd – Motion carried.
Scott W asked that the OSD committee be given the authority to book entertainment and pay for any deposits required. Jerry made the motion, Dan 2nd Motion Carried.
The committee discussed the kind of entertainment we’re looking at right now. We definitely want Mike & Joe back on Saturday night as they were becoming very popular at the festival. The committee is looking at other bands through Cam Music and getting quotes and availability on each, as well the want to look into having the karaoke contest again.
Also we have been in contact with the Pearl City Lions Club – they have their own bingo trailer, and we would invite them to participate during the weekend, free of charge.
Scott W asked that any members who would like to, please get involved in the OSD committee. The next meeting is October 18, 2007 at fibs at 5:30 prior to regular meeting. We are always looking for people who have new ideas.
Committee assignments:
Scott W went over the current committee chairperson list. Anyone wishing to remain as Chair of an event is more than welcome to keep on as Chair. However there are a few events that are in need of help and/or a new chairperson:
Donation Request:
Scott W asked the club if we would consider donating money to the Rockton Athletic fields. We had donated $20,000 over 2 years for Settler’s Park and he would like to see the club do the same for this one.
Jerry made a motion to move the money from the funding account to the charities account and donate $10,000 this year and $10,000 next year to the Rockton Athletic Fields, Steve P 2nd. Motion carried.
Steve P made a suggestion that we send out a press release within the next week regarding our donation, as well as making a presentation of some kind possibly at our next big event, the Christmas Auction.
Christmas Party
Kerri W asked that although it’s early if there were any suggestions as to where
we would like to have our Christmas party this year. The Gun Club has been
popular in past years and the members expressed interest in going there again.
Also the Christmas party is usually in lieu of the 2nd meeting in
December, but as that is on the 20th and just prior to Christmas we
will move it to the 2nd week, on the 13th.
Social Event:
Zig is also going to look into the cost of renting “hog heaven” a special section at the Rockford Ice Hogs games with private food and great seating. This would be just for a Lions Social event, with spouses and children invited.
Kerri motioned to adjourn, 2nd by Steve P – motion carried.
Meeting Adjourned at 7:40 pm.
Next Meeting October 4th 6:30 pm at fibs
